Circulation records: patron material is circulated via Apollo Biblionix’s automated circulation system. This circulation software tracks material currently checked out and automatically erases patron borrowing records after 6 months, unless the patron chooses differently. Only paid Library staff have access to patron records in the Library’s circulation software.

Catalog search records: These records refer to the searches of the collection a patron may conduct using the library’s terminal to search the collection. These searches are conducted using the same automated system, Apollo Biblionix. Once a search is conducted the software does not retain a copy of the search.

Computer use records: The library has several internet computers for public use. Patrons sign in at the circulation desk to use one of the computers. After a patron has logged off the computer all history of their search and activity is erased from the computer within 24 hours. Refer to the Internet Use Policy

Interlibrary loan records: Patrons may borrow items not held by the Fuller Public Library from other libraries via interlibrary loan. The library tracks items currently being borrowed, generating a record with patron information. Once the material is returned and any appropriate fees are paid, the record is destroyed.

Reference interview notes: A reference interview occurs when a patron, looking for information, approaches a library staff member with a question. The staff member may question or interview the patron in order to narrow the search information. No paper record is kept during the interview that contains patron information. If a patron’s name and number is taken by phone, and patron information is written down, as soon as the requested information is delivered, the paper record is destroyed.
